CRM and accounting systems are where most small and mid-sized companies keep their operational history. Here's what makes those records valuable to AI buyers, and how to export them cleanly.
Salesforce and HubSpot: the sales story
The most valuable CRM records aren't contact lists. They're the activity history: calls logged, emails sent, notes after meetings, stage changes, and the reasons deals were won or lost. That's a record of sales judgment that models rarely see.
- High value: opportunities with stage history, activities and notes, cases, quotes.
- Lower value: bare contact and lead lists with no activity.
Xero and QuickBooks: the money story
Accounting systems show how a business actually runs: what it buys, how it bills, how it chases payment, and how it fixes mistakes. Journals, credit notes, and reconciliation adjustments are especially useful because they show corrections, not just transactions.
- High value: invoices and bills with line items, credit notes, journals, aged receivables history.
- Lower value: summary reports without the underlying transactions.
Link them together
When an opportunity in Salesforce can be matched to an invoice in Xero and a support ticket afterward, a buyer can follow one customer relationship end to end. That linked view is worth more than each system alone.
What to leave out
- Payroll and HR records
- Bank account and card numbers
- Anything a customer contract says you can't share
- Any accounts you've marked as excluded in your data schedule
We send exact export steps after your license is signed, and never ask for files over email. See all supported systems on our data sources page.
